Tasks and views

Create and assign tasks, and switch between board, list and timeline views of the same work with status, priority, assignees and dates.

Updated 24 September 2026

Tasks are the units of work inside a project. Your workspace may call them Deliverables, Work orders or Stops.

Create a task#

In a project's Tasks tab, add a task: What needs to be done? Then open it to set the details:

  • Status — for example Open, In progress, Done.
  • Priority — low, medium or high.
  • Assignees — one or more people.
  • Start and due dates.
  • A description and tags.

Tasks also arrive from elsewhere: a CRM record's Create task, a Reach journey's task step, a Donna plan you accept, a whiteboard converted to a project, or an automation.

Three views of the same tasks#

ViewBest for
BoardMoving work between statuses — drag a card to another column. Drop tasks in any column.
ListScanning, sorting and filtering many tasks at once
TimelineSeeing tasks against dates — zoom in and out, move back and forward, jump to today

Filter any view by status. Switching views never changes the tasks — they are three ways of looking at the same list.

Complete a task#

Choose Mark complete on a task, or move it to the done column on the board. Completing a task can start an automation (for example, notify the client or create the next task). See Triggers.

Your tasks across projects#

Home shows My day and your overdue tasks across every project, and the Tasks card on your dashboard lists what is assigned to you.

Tasks and the calendar#

Task and project deadlines appear in Calendar alongside events, so dates are in one view.
