Quotes and recurring invoices
Offer work with a quote, turn an accepted quote into a draft invoice, and set up recurring invoice schedules.
On this page
Quotes offer work at a price before it is agreed. Recurring invoices bill the same amount on a schedule. Both live under Finance → Receivables.
Quotes#
Create a quote#
Create a quote from Receivables → Quotes → New quote, or — usually better — from an opportunity's Quotes tab in CRM, so the quote is linked to the deal. See Opportunities and pipelines.
A quote has the customer it is addressed to, lines (pick products from Inventory by name or SKU, or type a description, quantity and unit price), a valid until date and notes for the customer.
Quote statuses#
| Status | Means |
|---|---|
| Draft | Being written |
| Waiting for an answer | Sent to the customer |
| Accepted · not invoiced | The customer said yes; no invoice yet |
| Declined | The customer said no |
| Invoiced | An invoice has been drafted from it |
When a quote linked to an opportunity is accepted, the opportunity's value is updated to match the quote. Open the deal in CRM jumps to it.
Turn a quote into an invoice#
From an accepted quote, choose to invoice it. Unobits drafts an invoice from the quote's lines — Invoice drafted from the quote — which you then check and send like any other invoice.
Recurring invoices#
A recurring schedule creates the same invoice on a cadence — a retainer, a subscription, rent.
In Receivables → Recurring, choose New recurring invoice.
Choose the customer and the amount each time.
Choose how often: every week, month, quarter or year.
Set when the first invoice is due.
Each schedule shows its status (Active, Paused, Ended), when the next invoice is due and how many it has made so far.
