Inventory
Purchasing and suppliers
Raise purchase orders to suppliers, receive goods into a location, and let each receipt raise a draft bill in Finance.
On this page
Purchasing is how stock comes in: you raise a purchase order to a supplier, receive the goods into a location, and each receipt raises a draft bill in Finance for what arrived. Purchase orders and suppliers are shared with Finance — the same order appears in both places.
Suppliers#
Inventory → Suppliers lists who you buy from, with contact details, payment terms, tax ID and lead time. In Finance the same suppliers are called vendors.
Categories#
Inventory → Categories groups items. A category can have a parent, so you can nest them (for example Hardware → Fixings).
Raise a purchase order#
In Inventory → Purchasing, choose New purchase order.
Choose the supplier and the location to receive into.
Add line items — item, quantity and unit price. The total updates as you go.
Set the expected date and any notes.
Create order.
Orders show their status and progress. Open one to see its lines, what has been received and the bills raised from it.
Receive goods#
When a delivery arrives, open the order and choose Receive:
- Choose the location to receive goods into.
- Enter the quantity received on each line — the remaining quantity is shown. You can receive part of an order now and the rest later.
- Confirm.
Receiving does two things at once:
- Moves stock into the location (a Received movement for each line).
- Raises a draft bill in Finance for the value received. Goods lines move stock. A draft bill for the value received is raised in Finance.
The bill then goes through approval and payment in Finance like any other. See Bills, purchase orders and vendors.
Delayed orders#
Orders past their expected date appear as Delayed on the Inventory overview. An automation can flag overdue orders to the right person.
