Opportunities and pipelines

Track deals through pipeline stages with probability, value and expected close; win or lose them with a reason; and create a quote straight from one.

Updated 24 September 2026

An opportunity is something you might win: a sale, an engagement, a deal, a referral. Each one has a value, sits at a stage in a pipeline, has an expected close date and links to the people and company involved. Your workspace may call them Deals or Referrals.

Pipelines and stages#

A pipeline is the sequence of stages an opportunity moves through. A new workspace starts with a Sales Pipeline:

StageProbability
New Lead10%
Discovery25%
Proposal Sent50%
Negotiation75%
Closed Won100% — closes as won
Closed Lost0% — closes as lost

Your workspace's profile may start you with different stages. You can rename, reorder, add and archive stages, change probabilities, and create more pipelines in CRM settings. One pipeline is the default for new opportunities.

Work the board#

CRM → Opportunities shows a pipeline as a board (a column per stage) or a list. Choose the pipeline at the top.

  • Drag a card to another column to move it to that stage.
  • Each card shows the value, the owner and the next action. Nobody has agreed what happens next flags deals with no next step.
  • Search opportunities by name.

Create an opportunity#

Enter a name, amount, currency, pipeline, stage and expected close date, and link the contact and company. Then open it to add more people.

People and roles#

An opportunity can involve several people. Add each one on the opportunity's People tab and give them a role — the roles your workspace uses are set in CRM settings (for example Buyer and Seller for property, Budget Holder and Creative Approver for an agency).

Win or lose#

Move an opportunity to a closing stage — on the board, or with Move stage on several at once. When you move opportunities to a closing stage with Move stage, Unobits asks Why was it won/lost?; the close reason is kept on the opportunity and helps you see patterns.

A won opportunity can start automations — for example, creating a project or a follow-up task. See Automations.

Quotes from an opportunity#

On an opportunity's Quotes tab, choose New quote:

  1. The quote is addressed to the opportunity's contact.

  2. Add lines — search Inventory by name or SKU to pull in a product with its price, or type a description, quantity and unit price.

  3. Set Valid until and add Notes for the customer.

  4. Choose Create quote. It is created in Finance, linked to this opportunity.

When the customer accepts, marking the quote Accepted updates the opportunity's value to match the quote. From an accepted quote you can open an invoice — it is created in Finance as a draft. Quotes need Finance access; without it, the tab explains that Quotes live in Finance. See Quotes and recurring invoices.

Forecast#

Open value, probability and expected close dates feed the forecast in CRM insights, against the goals you set.
